Sociafy Privacy Notice

Supplement to the NTDdigital Privacy Policy

This Sociafy Privacy Notice (“Notice”) applies to Sociafy (available at sociafy.ntddigital.com), a social media management application operated by NTDdigital.

This Notice supplements the NTDdigital Privacy Policy. Except as specifically described in this Notice, the NTDdigital Privacy Policy also applies to your use of Sociafy. In the event of a conflict between this Notice and the NTDdigital Privacy Policy with respect to Sociafy, this Notice will control for Sociafy-specific data practices.

Sociafy helps businesses, creators, agencies, and teams manage, schedule, publish, distribute, and analyze content across multiple third-party platforms, including YouTube, Facebook, Instagram, TikTok, Gan Jing World, LINE, and other supported platforms (“Connected Platforms”).

1. Scope of This Notice

This Notice applies to personal information processed through Sociafy when you:

  • create or use a Sociafy account;
  • connect third-party accounts, channels, pages, or profiles;
  • upload, schedule, publish, or manage content through Sociafy;
  • use Sociafy as part of a team, agency, client, or organization workspace; or
  • contact NTDdigital regarding Sociafy support, sales, or account matters.

If you use Sociafy on behalf of a company, brand, agency, client, or other organization, you represent that you are authorized to do so. In some cases, NTDdigital may process information on behalf of that organization, and that organization may control your use of Sociafy.

2. Information Sociafy Collects

In addition to the categories described in the NTDdigital Privacy Policy, Sociafy may collect and process the following information in connection with the Sociafy service:

  • Account and profile information. This may include your name, email address, username, password, profile details, company name, workspace name, role, preferences, and settings.
  • Content and media. This may include videos, images, audio, captions, titles, descriptions, hashtags, thumbnails, links, drafts, publishing instructions, and related metadata that you upload, schedule, transmit, or publish through Sociafy.
  • Workspace and collaboration data. If you use Sociafy as part of a team, agency, organization, or client workspace, this may include workspace members, invited users, permissions, approval workflows, and activity history within the product.
  • Billing and transaction information. If you purchase a subscription or paid services, this may include billing address, subscription details, invoice records, and related payment information. Payment card information may be collected and processed by third-party payment processors rather than stored directly by NTDdigital.
  • Information from Connected Platforms. When you connect a Connected Platform to Sociafy, we may receive information from that platform based on the permissions you grant and the features you use. Depending on the platform, this may include account, page, channel, or profile name, username or handle, profile image, platform identifiers, linked assets, authentication credentials, permission scopes, publishing status, account metadata, and other information made available by the platform based on the permissions you grant and the features you use.
  • Automatically collected information. Sociafy may also collect usage data, device and browser information, log data, and cookie-related data, as further described in the NTDdigital Privacy Policy.

3. How Sociafy Uses Personal Information

Sociafy uses personal information to provide, operate, maintain, secure, and improve the Sociafy service, including to:

  • create and manage accounts, profiles, teams, and workspaces;
  • authenticate users and maintain Connected Platform integrations;
  • upload, schedule, publish, distribute, edit, or remove content at your direction;
  • display connected accounts, publishing destinations, and content status information within the product;
  • provide customer support and respond to questions, requests, and feedback;
  • send service-related, transactional, administrative, and security communications;
  • process subscriptions, billing, payments, and related transactions;
  • analyze usage, monitor product performance, debug issues, and improve functionality;
  • prevent, detect, investigate, and respond to fraud, abuse, security incidents, and other harmful or unlawful activity;
  • enforce applicable terms and agreements; and
  • comply with applicable law and legal process.

4. How Sociafy Shares Personal Information

Service providers and subprocessors

We may share information with vendors and service providers that help us operate Sociafy and our business, including providers of hosting, storage, infrastructure, authentication, analytics, customer support, email delivery, billing, payment processing, monitoring, and security.

Connected Platforms

When you instruct Sociafy to publish, schedule, manage, or distribute content through a Connected Platform, we share the information necessary to perform that action with that platform.

Team members, workspace administrators, and clients

If you use Sociafy through a shared workspace, team, agency, or client account, certain information may be visible to or controlled by authorized users associated with that workspace.

Legal compliance and protection

We may disclose information where necessary to comply with law, respond to legal process, enforce agreements, investigate suspected fraud or abuse, or protect rights, property, safety, or security.

Corporate transactions

We may disclose information in connection with an actual or proposed merger, acquisition, bankruptcy, reorganization, financing, asset sale, or similar transaction.

With your direction or consent

We may share personal information when you instruct us to do so or otherwise consent.

5. Connected Platforms and Third-Party Services

Content that you choose to publish through Sociafy may become publicly available on the Connected Platform where it is posted. Once content is submitted to or published on a third-party platform, its use, disclosure, retention, moderation, and further processing may be governed by that platform’s own terms, policies, and privacy practices, which NTDdigital does not control.

Sociafy may also link to, integrate with, or enable access to third-party websites, applications, platforms, and services, including Connected Platforms. Those third parties operate independently from NTDdigital, and their privacy practices are governed by their own policies and terms. We encourage you to review the privacy policies, platform terms, and developer policies of any third-party service you connect to or access through Sociafy.

When you connect a third-party account to Sociafy, we may access and use the information, permissions, and authorization credentials made available by that platform as needed to authenticate your account, display connected account information, and enable the publishing, scheduling, and account-management features you request through Sociafy.

For example, when you connect your YouTube account to Sociafy, Sociafy uses YouTube API Services and may access limited Google or YouTube account information and authorization credentials needed to authenticate your account, display connected channel information, and enable publishing features you request. We store Google or YouTube authorization credentials only as needed to maintain your connected account and provide the features you request through Sociafy, and we do not disclose Google user data except as necessary to provide the service, comply with law, or protect security and prevent abuse. Sociafy’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. You can also review the Google Privacy Policy and information about YouTube API Services and developer policies.

You may revoke Sociafy’s access to a Connected Platform at any time through the applicable platform’s account or security settings. For Google-connected services, you may manage permissions through Google’s security settings permissions page. You may also contact us at [email protected] to request deletion of authorized account data maintained in connection with Sociafy, subject to applicable law, security, fraud prevention, and recordkeeping requirements.

6. Data Retention

We retain personal information for as long as reasonably necessary to provide the Sociafy service, maintain your account and connected integrations, fulfill the purposes described in this Notice and the NTDdigital Privacy Policy, comply with legal obligations, resolve disputes, enforce agreements, and protect the service and users.

We determine retention periods based on the nature and sensitivity of the information, the purpose for which it was collected, legal requirements, and operational necessity.

7. International Transfers

Sociafy may process and store personal information in the United States and other countries where NTDdigital or its service providers operate. Additional information for users in the EEA or UK is provided in the NTDdigital Privacy Policy and any applicable regional privacy notice.

8. Security

We implement reasonable administrative, technical, and physical safeguards designed to protect personal information from unauthorized access, use, alteration, and disclosure. These measures may include access controls, encryption, logging, monitoring, and other appropriate safeguards.

However, no method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee absolute security.

9. Business Customers, Agencies, and Client Accounts

If you use Sociafy on behalf of a business, brand, agency, client, or other organization, NTDdigital may process information and content on behalf of that organization and according to its instructions. Workspace owners and administrators may have access to account information, connected accounts, content, permissions, activity logs, and settings associated with the workspace.

You are responsible for ensuring that you have the rights, permissions, and authority necessary to connect third-party accounts, upload content, publish content, and provide any information or materials to Sociafy.

10. Children’s Privacy

Sociafy is not directed to children under the age of 18, and we do not knowingly collect personal information from children under that age. If you believe that a child has provided personal information in violation of this section, please contact us so we can take appropriate action.

This Notice supplements, and should be read together with, the NTDdigital Privacy Policy. The NTDdigital Privacy Policy continues to apply to Sociafy except where this Notice provides more specific disclosures about Sociafy’s product features, Connected Platform integrations.

Sociafy Data Deletion Instructions

Sociafy provides multiple ways for you to delete personal information that we hold about you. This page describes what data Sociafy stores, how to remove it, and how to contact us with any deletion request.

1. What Data Sociafy Stores

When you use Sociafy, we may store the following:

  • Account information: username, password hash, role, and account creation timestamp.
  • Connected platform credentials: encrypted access tokens and refresh tokens for the third-party platforms (Facebook, Instagram, YouTube, X/Twitter, TikTok, Gan Jing World, LINE) you have connected.
  • Connected account metadata: the platform user ID, page ID, channel ID, or username Sociafy needs to publish on your behalf.
  • API keys you have generated for programmatic access.
  • Session and activity logs needed to operate and secure the service.

Sociafy does not store the content of posts you publish through the service after publication completes. Media files are uploaded to the destination platform and deleted from Sociafy’s temporary storage.

2. Disconnect a Single Platform (self-service)

To delete the credentials and metadata Sociafy holds for a single connected platform (for example, your Facebook Page or Instagram Business account):

  1. Log in to Sociafy at https://sociafy.ntddigital.com.
  2. Open the Connections tab.
  3. Click the × button (tooltip: Disconnect) next to the platform you want to remove.

Disconnecting removes the encrypted access token, refresh token, page/channel/account identifiers, and platform username Sociafy holds for that connection. Sociafy will no longer be able to access that platform on your behalf.

3. Delete Your Sociafy Account (self-service)

To permanently delete your entire Sociafy account and all associated data:

  1. Log in to Sociafy at https://sociafy.ntddigital.com.
  2. Open the Account tab.
  3. In the Delete Account section, enter your password and click Delete My Account.

The deletion is immediate. All connected platform credentials, API keys, sessions, and account metadata are removed from the Sociafy database at the moment the request completes. You will be logged out and receive a confirmation on screen.

If you cannot log in for any reason (for example, you have lost your password), you may instead email [email protected] from the email address associated with your account, with the subject line “Sociafy account deletion request” and your Sociafy username. We will verify and complete the deletion within 30 days and send a confirmation email.

4. Revoke Sociafy from the Platform Side

You can also revoke Sociafy’s access from the connected platform itself. This removes Sociafy’s authorization at the source even if you have not yet disconnected from inside Sociafy.

  • Facebook / Instagram: visit Facebook › Settings › Business Integrations, find Sociafy, and click Remove. Removing Sociafy from your Facebook settings automatically triggers Sociafy’s server-side deletion of all data associated with your Facebook account — no further action is required from you. Facebook will display a confirmation link you can follow to verify the deletion.
  • YouTube / Google: visit Google Account › Third-party apps & services, select Sociafy, and click Remove access.
  • X (Twitter): visit X › Settings › Connected Apps, find Sociafy, and click Revoke access.
  • TikTok: open the TikTok app or website, go to Settings and privacy › Security and login › Manage app permissions, find Sociafy, and remove access.

For non-Meta platforms (YouTube, X, TikTok), revoking from the platform side invalidates the tokens Sociafy holds; we recommend also using the in-product Disconnect button (Section 2) so the now-invalid records are removed from Sociafy.

5. Data Retention After Deletion

After a deletion request is completed, Sociafy retains no personal information about your account or connected platforms, except where retention is required by law (for example, billing records subject to tax retention rules) or where information has been irreversibly anonymized.

Backups of the production database may contain previously stored information for a limited rolling retention window after which they are automatically deleted.

Your Sociafy data deletion request has been processed. All Sociafy connections, encrypted access tokens, refresh tokens, and platform identifiers associated with your Facebook account have been permanently removed from our database.

Sociafy Terms of Service

These Terms of Service govern your use of Sociafy, the website located at https://sociafy.ntddigital.com/, and any related services provided by NTDdigital.

By accessing Sociafy at https://sociafy.ntddigital.com/, you agree to abide by these Terms of Service and to comply with all applicable laws and regulations. If you do not agree with these Terms of Service, you are prohibited from using or accessing Sociafy or using any other services provided by NTDdigital.

We, NTDdigital, reserve the right to review and amend any of these Terms of Service at our sole discretion. Upon doing so, we will update this page. Any changes to these Terms of Service will take effect immediately from the date of publication.

Limitations of Use

By using this website, you warrant on behalf of yourself, your users, and other parties you represent that you will not:

  1. modify, copy, prepare derivative works of, decompile, or reverse engineer any materials and software contained on this website;
  2. remove any copyright or other proprietary notations from any materials and software on this website;
  3. transfer the materials to another person or "mirror" the materials on any other server;
  4. knowingly or negligently use this website or any of its associated services in a way that abuses or disrupts our networks or any other service NTDdigital provides;
  5. use this website or its associated services to transmit or publish any harassing, indecent, obscene, fraudulent, or unlawful material;
  6. use this website or its associated services in violation of any applicable laws or regulations;
  7. use this website in conjunction with sending unauthorized advertising or spam;
  8. harvest, collect, or gather user data without the user's consent; or
  9. use this website or its associated services in such a way that may infringe the privacy, intellectual property rights, or other rights of third parties.

Intellectual Property

The intellectual property in the materials contained in this website are owned by or licensed to NTDdigital and are protected by applicable copyright and trademark law. We grant our users permission to download one copy of the materials for personal, non-commercial transitory use.

This constitutes the grant of a license, not a transfer of title. This license shall automatically terminate if you violate any of these restrictions or the Terms of Service, and may be terminated by NTDdigital at any time.

User-Generated Content

You retain your intellectual property ownership rights over content you submit to us for publication on our website. We will never claim ownership of your content, but we do require a license from you in order to use it.

When you use our website or its associated services to post, upload, share, or otherwise transmit content covered by intellectual property rights, you grant to us a non-exclusive, royalty-free, transferable, sub-licensable, worldwide license to use, distribute, modify, run, copy, publicly display, translate, or otherwise create derivative works of your content in a manner that is consistent with your privacy preferences and our Privacy Policy.

The license you grant us can be terminated at any time by deleting your content or account. However, to the extent that we (or our partners) have used your content in connection with commercial or sponsored content, the license will continue until the relevant commercial or post has been discontinued by us.

You give us permission to use your username and other identifying information associated with your account in a manner that is consistent with your privacy preferences, and our Privacy Policy.

Liability

Our website and the materials on our website are provided on an 'as is' basis. To the extent permitted by law, NTDdigital makes no warranties, expressed or implied, and hereby disclaims and negates all other warranties including, without limitation, implied warranties or conditions of merchantability, fitness for a particular purpose, or non-infringement of intellectual property, or other violation of rights.

In no event shall NTDdigital or its suppliers be liable for any consequential loss suffered or incurred by you or any third party arising from the use or inability to use this website or the materials on this website, even if NTDdigital or an authorized representative has been notified, orally or in writing, of the possibility of such damage.
